Data we collect
- Account data: name, email, phone, password hash, country, and basic profile details you provide.
- Listing & verification data: documents you upload (for example, proof of ownership, valuation docs), and any KYC metadata you consent to provide via our verification partners.
- Transactions & wallet: competition entries, PropCredit (PFC) top-ups, spend history, payment references, amounts, currency, and payment status (processed via payment partners; we do not store full card or bank details).
- Usage & device data: pages viewed, clicks, features used, device and browser information, IP-derived location (city/country level), and log data for security and performance.
- Communications: messages you send us (support, compliance, listing reviews, partnerships) and metadata related to those messages.
- Social / live: public handles you link (for example, TikTok) and engagement signals around live PropFair shows and announcements.
How we use data
- Operate and improve PropFair features: competitions, entries, wallets, listings, live reveals, and verification flows.
- Verify vendors, listings and winners to keep the marketplace fair, compliant, and safe.
- Detect and prevent fraud, abuse and violations of our Terms & Conditions.
- Personalise content (for example, recommended competitions) and send essential service emails (for example, confirmations, security alerts).
- Comply with legal obligations (for example, AML/KYC) and enforce our policies.
International transfers
PropFair may process data in multiple regions (for example, infrastructure in the EU, UK, Africa or the US). Where required, we use appropriate legal safeguards (such as standard contractual clauses) for international transfers.
Data retention
We keep personal data only as long as necessary for the purposes described in this policy, to comply with legal and regulatory obligations, to resolve disputes, and to enforce agreements. Retention periods vary depending on the type of data and the context.
Your privacy rights
Depending on your location, you may have rights to access, correct, delete, or port your data; to object to or restrict certain processing; and to withvault consent where processing is based on consent.
- Access / export: request a copy of your personal data.
- Correction: update or correct inaccurate information.
- Deletion: request deletion of data where applicable (for example, where we have no ongoing legal basis to keep it).
- Objection / restriction: manage marketing preferences and object to certain processing where permitted by law.
To exercise your rights, contact us using the details in the Contact us section. We will verify your request and respond as required by applicable law.
Security
We implement administrative, technical and organisational measures designed to protect personal data (for example encryption in transit, access controls, audit logging and secure development practices). No system is 100% secure, so we encourage you to use a strong, unique password and enable additional protections where available.
Children’s privacy
PropFair is not directed to children under 18 (or the minimum legal age in your jurisdiction). We do not knowingly collect personal data from children. If you believe a child has provided personal data, please contact us so we can take appropriate steps.
Refunds, cancellations & chargebacks (summary)
- Entry purchases and PFC wallet top-ups are generally non-refundable, except where a competition is cancelled or materially altered, or where consumer law requires otherwise.
- If a competition is cancelled or cannot fairly complete, we may issue refunds, PFC credits, or replacement entries at our discretion and in line with our Terms & Conditions.
- Chargebacks initiated via a bank or card provider without first contacting our support team may lead to temporary account restrictions while the dispute is investigated.
The detailed legal terms for refunds and cancellations live in our Terms & Conditions. This section explains how your data is used when handling those requests (for example, transaction logs and correspondence with your bank or payment provider).
AML, KYC & verification (summary)
To protect users and comply with anti-money-laundering (AML) and know-your-customer (KYC) requirements, PropFair may ask certain users to complete verification steps — especially high-value winners and vendors.
- We may request ID documents, proof of address, and selfie/face match checks through regulated verification partners.
- Verification data is processed only for compliance, fraud prevention, and platform safety, and is stored for as long as necessary to meet legal obligations.
- We may cross-check your data against watchlists or sanctions lists, as required by law.
These checks help protect genuine users and keep the platform aligned with applicable AML/KYC regulations in relevant countries.
Vendors & listings (summary)
When you list an asset (for example property, vehicle, high-value goods) on PropFair, we process additional data to vet, present and protect that listing.
- Listing data includes photos, videos, descriptions, documentation you upload, and your relationship to the asset (for example owner, authorised representative, business).
- We may share limited listing and contact information with third-party verifiers (for example surveyors, legal partners) where you consent or request such services.
- Fraudulent or non-compliant listings may be removed, and associated data retained for investigation and legal compliance.
Community & safety (summary)
To keep PropFair safe, we monitor for abusive, fraudulent or illegal behaviour using a mixture of automated signals and human review.
- We may log and review activity around listings, vaults, messages and payments to detect scams, collusion, manipulation or other policy violations.
- Where necessary, we may share information with law enforcement or regulators in line with applicable laws.
- Reports from users (for example “report this listing”) are logged and may be associated with your account for audit and dispute handling.
Live vaults, VRF fairness & logging (summary)
PropFair aims to run vaults using verifiable randomness and clear audit trails. This has privacy implications you should know about.
- Vaults may use verifiable random functions (VRF) and commit-reveal schemes. We log seed, salt, commit hash, ticket indexes and winning positions, but not your full personal identity on public proof pages.
- Public proof pages may show anonymised or limited winner information (for example first name and city) where you consent or where it is necessary to demonstrate fairness.
- Live reveals and replays may show your handle or display name in chat or ticker-style overlays if you take part in public social channels (for example TikTok).
Global vaults & regional rules (summary)
Some competitions are labelled as available to participants in multiple countries (“Global Vaults”), subject to local regulations.
- We may use your IP-derived location and profile country to show or hide certain competitions in line with regional rules.
- For compliance reasons, some countries or regions may be blocked from specific vaults or categories.
- We maintain logs of how location-based eligibility was determined in case of audits or disputes.
Shipping, delivery & ownership transfer (summary)
When you win a physical item or asset, we process additional logistics and legal data to get it to you safely.
- We may collect delivery addresses, contact numbers, and recipient details to share with logistics and courier partners.
- For property or other high-value assets, we may work with legal, escrow or brokerage partners and share relevant winner and listing data to execute the transfer.
- Delivery and transfer records are retained as part of our legal and compliance obligations.
User wallet & PropCredits (PFC) (summary)
PropFair uses an internal credit system called PropCredits (PFC) for entering competitions in supported regions.
- We keep records of your wallet balance, PFC top-ups, redemptions and competition spends, linked to your account.
- PFC movement data may be used for fraud monitoring and AML/KYC review where required.
- Wallet histories are retained for regulatory, accounting and dispute-resolution purposes.
Responsible use (summary)
PropFair is built around real assets and transparent rules — but it still involves risk. We encourage responsible participation and use your data in limited ways to support that.
- We may monitor for signs of harmful or unusual behaviour (for example, very frequent entries) and may apply soft friction (for example reminders, limits) where appropriate.
- We may send you information about tools and settings that help you control notifications, spending and participation.
- We do not profile you for “high-risk targeting” or resell your competition behaviour for advertising purposes.
Changes to this policy
We may update this policy as PropFair evolves. When we make changes, we’ll update the date at the top of the page, and where changes are significant we may provide additional notice (for example, in-app or by email).
Where required by law, we will ask for your consent to material changes that affect how we process your personal data.
